The Dutchman Website Privacy Policy
This policy explains how we handle personal information from website visits, enquiries, related correspondence and approved website content.
Hidde Meijers trading as The Dutchman collects and holds the personal information described here. Hidde is our Privacy Officer. Contact info@thedutchman.co.nz. Postal address: 11 Mackwell Road, Fairview Heights, 0632, Auckland, New Zealand.
This policy covers The Dutchman website at https://thedutchman.co.nz/, website enquiries and related follow-up correspondence. It also covers identifiable material we publish on the Dutchman website with appropriate permission. It does not describe the handling of additional records collected to deliver consulting or Relief Chef services. Relevant privacy information will be provided when those services are arranged, before additional collection or materially different use.
Chef Harbour is another trading name of the same operator. Its directory, profile, waiting-list, newsletter and introduction activities have a separate privacy policy at https://thedutchman.co.nz/chefharbour/privacy. Sharing an operator or website domain does not authorise unrelated use of your information.
When you enquire, we collect the details you provide, which may include your name, business or venue, email, telephone, location, service interests, proposed dates and hours, requirements and message. We also retain relevant follow-up correspondence. We use these details to respond, clarify your request, assess availability, discuss a proposal, manage the enquiry and address related complaints or legal obligations.
Our conditional Fillout form shows questions relevant to consulting, Relief Chef requests or general contact. Routing values may record the chosen service, new or existing client category, originating website section and selected consulting focus. When linked to a submission, they form part of the enquiry record.
Providing information is voluntary. Required fields identify what is needed to process that form; without necessary details we may be unable to respond or assess your request. Please supply only information relevant to the enquiry and avoid unnecessary sensitive information or information about other people.
If you supply someone else’s information, please ensure you are entitled to do so. We still assess the lawful basis for indirect collection and take reasonable steps to provide any notice required by Privacy Principle 3A, unless an exception applies. We do not assume your submission removes our responsibilities to that person.
We use Framer to host the website and provide native analytics, Fillout to collect and manage forms, and 1st Domains for business email and associated domain services. These providers and their supporting providers process information needed to deliver their services. They may process technical information such as IP addresses, browser or device details, timestamps, security and access logs.
Completed enquiries are stored in Fillout. Notifications are sent to info@thedutchman.co.nz, which retains a copy. Enquiries and form submissions are received through our business email systems and may be forwarded internally to email accounts managed by our operator, Hidde Meijers, for administration and response purposes. Relevant copies and correspondence may remain in both mailboxes. Chef Harbour notifications may also reach the final mailbox, but are handled for their separately disclosed purposes.
Fillout partial-submission collection is disabled. This does not exclude technical logging when an unfinished form is opened. The configured external form workflow is email notification; there is no automatic connection sending enquiries to ChatGPT.
Access is limited to the operator and providers or authorised people who reasonably need it for the stated purposes. Necessary information may be disclosed to professional advisers or authorities where authorised, required or otherwise permitted by law. Any business-transfer disclosure must have a lawful basis and appropriate confidentiality and security safeguards. We do not sell personal information to advertisers.
We do not automatically pass Dutchman enquiries to independent chefs or subscribe enquirers to Chef Harbour. If an introduction is proposed, we explain it and obtain appropriate authority before sharing identifiable details.
We use Framer’s built-in analytics to understand aggregate visits, page views, traffic sources, referring websites, approximate countries, device categories and engagement. Where supported and tested, limited button-click counts and general campaign labels help us assess website use. We do not deliberately put names, email addresses or enquiry content into analytics parameters.
Framer states that its standard analytics use neither tracking cookies nor persistent visitor identifiers. It describes hashing IP addresses and browser user-agent information using a daily rotating secret to calculate daily unique visitors. We receive aggregate reporting rather than a named visitor browsing history.
At launch we do not use Google Analytics, Google Tag Manager, Meta Pixel, advertising retargeting, heatmaps or session recordings. Embedded forms and other infrastructure may still process technical information or use storage needed for their functions. We do not describe the whole website as cookie-free. We provide additional notice and choices where applicable law requires them.
We may use ChatGPT manually to help draft, edit or review website content and design. We minimise personal information and use fictional or de-identified examples where practical. Before supplying non-public identifiable material for this external assistance, we explain the intended use and obtain appropriate authority or approval where required. Website enquiries are not automatically supplied to AI tools.
Our ChatGPT account is configured with the model-training opt-out. This does not mean no storage or immediate deletion. We check outputs, restrict access and remove unnecessary working material. Provider retention and lawful preservation requirements may still apply.
Identifiable website photographs, testimonials and case studies require appropriate approval before publication. Submitting an enquiry does not give that approval. You may contact us to request removal of approved personal material from the website; we address requests reasonably promptly, subject to any lawful continuing basis. We cannot guarantee removal of independent copies, reposts or external caches.
We use enquiry contact details for relevant follow-up, not automatic newsletter enrolment. Kit is used for the separate Chef Harbour newsletter, not an established Dutchman newsletter. Any optional signup must identify its purpose and relevant privacy notice. Unrelated commercial emails require an appropriate consent basis, identify the sender and provide an unsubscribe. We honour unsubscribe requests within five working days; necessary responses to an open enquiry may continue.
We take reasonable safeguards proportionate to the information, including restricted access, appropriate account and device protection and careful sharing. No online service is completely risk-free. We assess suspected privacy breaches and notify the Privacy Commissioner and affected people where the Privacy Act requires, as soon as practicable and subject to applicable exceptions.
Providers and supporting services may process or store information in New Zealand and overseas. We do not promise a particular country for every record. We remain responsible for information processed on our behalf and assess appropriate provider safeguards.
Where an overseas transfer is a disclosure covered by Privacy Principle 12, we establish a permitted basis, such as comparable safeguards. If relying on individual authorisation where comparable safeguards may be absent, we must expressly explain that before obtaining authorisation. This policy is not blanket consent to such disclosure.
We retain website and enquiry information only as long as required for a purpose for which it may lawfully be used. We review closed enquiries and delete or irreversibly de-identify information no longer needed. Relevant records may be retained longer to address a specific complaint, dispute or legal obligation, with the need reviewed. Approved website material is retained for its approved publication purpose and necessary administration.
If an enquiry leads to an engagement, relevant details may be carried into that engagement where lawful and explained in the applicable privacy information. This does not justify retaining every enquiry attachment or duplicate. Separate service arrangements cannot waive your statutory privacy rights.
Deletion is manual and may require separate action in Fillout, the originating and forwarded mailboxes, attachments and other working copies we control, including relevant AI uploads. Deleting from one location does not remove other copies automatically. We have no independently configured backup system or automated deletion schedule.
Providers may retain residual copies in backups, archives, security logs or recovery systems under their applicable retention cycles or lawful preservation requirements. We use available deletion controls and make provider requests where appropriate, but do not promise immediate erasure from every system. We take reasonable steps to prevent restored information returning to ordinary use after it should have been deleted. These qualifications do not permit indefinite retention or remove our privacy obligations.
Email info@thedutchman.co.nz to request access to or correction of personal information we hold about you, ask about retention or request deletion of information no longer needed. We may reasonably verify identity or authority before disclosure. Access and correction decisions are generally due within 20 working days, subject to lawful extensions and other statutory rules.
If we decline a correction, you may request that a statement of the correction sought be attached as the law provides. We explain relevant refusals or reasons for continued retention. Deletion requests are considered under applicable law; not all records must be erased on demand.
Raise privacy concerns with Hidde Meijers using the contact details above. You may also complain to the Office of the Privacy Commissioner at https://www.privacy.org.nz/.
We may update this policy and show its revised effective date. We give appropriate notice of material changes and obtain any further permission or other lawful basis needed for a new use. Changing this page does not retrospectively remove earlier commitments.
